Checking Stock Availability

If stock is insufficient to fulfill an order when processing a Sales Order, Sales Invoice or Cash Sale a warning will be issued and you will be prevented from creating or saving the document.

This has to be configured first, which will ensure you always have enough stock available.

Setting insufficient stock preferences on Sales Orders

  1. From the Explorer go to SetupConfigurationSales Order.
  2. This displays the Sales Order configuration screen (as shown below).

From the ‘Saving with insufficient stock’ dropdown, there are four options:

  1. Do not allow document to be saved
  2. Do not allocate any available stock
  3. Allocate any available stock
  4. Over allocate stock

Setting insufficient stock preferences on Sales Invoices

  1. From the Explorer go to SetupConfigurationSales Invoice.
  2. This displays the Sales Invoice configuration screen.
  3. From the ‘Saving with insufficient stock’ dropdown, select one of the four options:
    1. Do not allow document to be saved
    2. Do not allocate any available stock
    3. Allocate any available stock
    4. Over allocate stock

Displaying Stock Availability

Stock availability can be checked while processing Sales Orders, Invoices, Quotes and even Sales Opportunities.

The document must be in either New or Edit mode.

Click the ‘Check Stock‘ button to display the current stock availability for Stock Items listed in the document (as shown below):

If there is a shortfall in stock the outstanding amount (in Stock Units) is shown in red.
