Inheriting Values

When creating a Custom Field, you may want to pre-populate the field with data when a new Document is created.

For example, on a Sales Quote a custom field called ‘Campaign’ has been added which holds the name of the marketing campaign associated with the quote.

A ‘Campaign’ field has been added to the Sales Invoice document too.

When a Sales Invoice is created from a Sales Quote, the ‘Campaign’ field must inherit the value from the Sales Quote’s ‘Campaign’ field.

How to specify Custom Field Inherited Values

First, define two Campaign custom text fields in both the Sales Quote and Sales Invoice documents. The Sales Invoice Campaign field must inherit the value from the Sales Quote Campaign field.

Starting with where the value must come from, the Sales Quote:

  1. From the Explorer click SetupConfiguration.
  2. From the pane on the right, select the green ‘Sales Quote‘.
  3. The document titled ‘View Sales Quote Configuration’ will open.
  4. From the Action bar click ‘Customise Fields‘.
  5. Select the field that is to be inherited by another Document, it will be highlighted in yellow.
  6. From the ‘Edit Fields‘ drop-down menu, select ‘Inherit Field Value‘.
  7. A pop-up window will open displaying all Custom Fields that can potentially inherit the selected value (see below).

  1. Select the Custom Field(s) that will inherit the value. In this case we want to click the Campaign field on the Sales Invoice document.
  2. Save and Close the pop-up; clicking ‘Save‘ will set the selected inherited fields and the window can be closed by clicking ‘Close‘.

Now when you create a Sales Invoice from a Sales Quote the Sales Invoice will automatically inherit the Sales Quote’s Campaign value (as shown below).

NOTE:
Custom Fields can inherit from other Custom Fields (as in the example above), or from Standard Fields.

How to view a Custom Field’s Inheritance

  1. From the Explorer click SetupConfiguration.
  2. From the pane on the right, select the customisation page containing the custom field.
  3. From the Action bar click ‘Customise Fields‘.
  4. If a Custom Field has inherited values you will see the icon inherit icon.
  5. Click this icon to see a pop-up window that shows the Custom Field’s inherited values (see below).
