Using Sales Order List

The Sales Order List enables users to perform bulk search and processing operations to:

  • enable Sales Orders progress through the fulfillment journey,
  • create Purchase Orders for Back | Drop Ship | Special Orders.
 
Web Page Sales Indicators on Line Items and in Sales Order List

Green, Orange, and Red indicators together with statuses in the row reflect whether or not there is stock available for allocation.

Along with the allocation status, the accounting status and pick, pack ship status for each Order are also displayed in the Sales Order List.

To access Sales Order List, go to:

SALES > Sales Orders

You can perform the following task using Sales Order Lists:

Search Orders

You can search orders in the following ways:

Advanced Search Tab

Enter the search criteria to find the relevant Sales Orders.

You can save the search criteria using the Memorise option. This enables you to run the same search criteria without requiring to enter the details again and again.

List All

List all Sales Orders.

List Pending

List all Sales Orders awaiting approval.

List Open

List all Sales Orders that are not invoiced.

Find Orders

My approved Orders

List all Sales Order owned by you, that have been approved.

My submitted Orders

List all Sales Orders owned by you, that have been submitted.

Submitted Orders awaiting approval

List all Sales Orders awaiting approval.

Pending Orders

List all Sales Orders in PENDING status.

Open Orders

List all Sales Orders that have not been invoiced yet.

Fulfilled Orders

List all Sales Orders that have been invoiced.

Orders awaiting Credit approval

List all Sales Orders awaiting Credit approval i.e. that are in PENDING (CREDIT) status.

Approve Order

To approve Sales Orders, go to:

Find > Submitted Orders awaiting approval

This will list all the orders awaiting approval.

Users with Approval permissions, set in their respective Role, can bookmark or view Orders to edit and approve them.

Approve Credit for Orders

To approve Credit for Orders, go to:

Find > Orders awaiting Credit approval

This will list all the orders awaiting credit approval.

Use Approve Credit option to appprove all the selected Sales Orders.

Stock Allocation

Use the Allocating option to list the Sales Orders depending on their allocation status:

  • List orders requiring allocation.
  • List Orders that can be fully allocated.
  • List Orders that can be partially allocated.
  • List Orders that cannot be allocated.
Use the Allocating > Allocate Stock option to allocate stock to the selected Sales Orders.

Show Allocation for selected orders - This option displays both Allocate and Allocate and Create Shipments options on the screen, so that users can choose one of the options and move the orders to the Shipment stage.

Create Shipments

Use the Allocating > Create Shipments option to create Shipments for selected Sales Orders.

Once stock allocation is complete, the Sales Orders are ready for Pick-Pack-Ship.

You can create Shipments for selected Sales Orders using this option.

Show Allocation for selected orders: This option displays both Allocate and Allocate and Create Shipments options on the screen, so that users can choose one of the options and move the orders to the Shipment stage.

Track Orders ready to Pick, Pack and Ship

Using Pick-Pack-Ship option you can:

  • List orders ready to Pick-Pack-Ship: Displays list of orders that are ready to Pick-Pack-Ship.

    Along with the list Create Shipments option is displayed on the screen.

    Users can use this option to create Shipments for all the orders in the list.

  • List orders currently in Pick-Pack-Ship: This option displays the position and status of each order in the Pick-Pack-Ship journey.

Print Pick Lists

Using Pick-Pack-Ship option you can:

Print pick list by order: You can print Pick Lists grouped by Sales Order ref#, for selected Orders.

Print pick list by item: You can print Pick Lists grouped by Items, for selected Sales Orders.

Create Invoices

Using the Invoicing option, you can list orders that are shipped and not invoiced using List orders Shipped not invoiced option.

You can create Sales invoices in bulk, for the selected Sales Orders, using the Create Invoices. The following options are available:

  • List orders Shipped not invoiced.
  • List Orders partially | fully shipped.
  • Users can bulk create Sales Invoices from selected Sales Orders.

Create Cash Sales

(Sales Receipt)

Using the Invoicing option, you can list orders that are shipped and not invoiced using List orders Shipped not invoiced option.

You can create Cash Sales(Sales Receipts) in bulk, for the selected Sales Orders, using the Create Cash Sales option.

  • List Orders Shipped not Invoiced.
  • List Orders partially | fully shipped.
  • Users can bulk create Cash Sales from selected Sales Orders.

Create Back Orders

Note: This option has been deprecated and has been replaced by Purchase Order Generator. See Using Purchase Order Generator by Order

Sales Orders have a Back Order checkbox which is automatically checked by the Back Order generator.

Users can run the Back Order generator from the Sales Order List using the Back Orders option.

The Create Back Order Purchase Order option scans the Order list for Sales Orders with a status of Not Allocated or Partially Allocated and automatically creates Purchase Orders (Back Orders).

The resulting Back Orders are based upon the aggregation of the shortfall of stock. These Purchase Orders derive their Supplier details from the Preferred Supplier table defined on the respective Item Master.

Every Sales Order Back Order checkbox is checked during the backorder operation. The Sales Order field on each Purchase Order generated is populated with either:

  • the Sales Order Ref #, where there is a one to one relationship between the Purchase Order and the Sales Order.

    The Sales Order ref number links to the Sales Order.

  • the word Split, where there is one to many relationships between the Purchase Order and multiple Sales Orders.

    Clicking the link will display a modal box (pop up) which presents a list of the linked Sales Orders.
The linked Purchase Order will appear in the Transaction tab of each Sales Order.

Drop Ship Orders

Using Drop Ship option you can:

  • List Drop Ship Orders.
  • List Drop Ship Orders (Bill): List of drop ship orders for which Purchase Invoice has been received.
  • List Drop Ship Orders (with no PO): List of drop ship orders for which no Purchase Orders have been generated.
  • Create Drop Ship Purchase Orders for selected orders.
  • Create Invoices (Bill received): Create Purchase Invoices for selected drop ship orders.

Special Orders

Special Orders are used to order Items to be shipped to you and then shipped onward to the customer.

Using Drop Ship option you can:

  • List Special Orders
  • List Special Orders (No PO)
  • Create Special Orders
  • Create Invoices (Bill received): Create Purchase Invoices for selected special orders.
